The Executive Assistant to the President and Director of Board Relations plays a critical role in overseeing the daily operations of the Offices of the President and the Board of Trustees. This position provides essential support to the President, the Board of Trustees Chair, and other officers, ensuring that the offices run smoothly and efficiently. The Executive Assistant is responsible for managing the President's schedule, drafting communications on behalf of the President, and organizing and preparing for meetings, which includes gathering necessary documents and attending to all logistical aspects. Additionally, the role involves answering and responding to phone calls, prioritizing emails, coordinating travel arrangements, and maintaining various records and documents for the President. In addition to supporting the President, the Executive Assistant oversees the daily operations of the President's Office, coordinating with leadership team members as needed. This includes planning all activities related to the Board of Trustees, providing support for the Board Chair and other Trustees, and taking official minutes for Board meetings. The Executive Assistant coordinates and oversees Board Committee meetings, ensuring that committee materials are submitted in a timely fashion. Regular contact with members of the Board of Trustees is maintained, and the Executive Assistant is responsible for planning and coordinating various special functions for both the President and the Board of Trustees, as well as orientation programs for new Trustees. Furthermore, the role includes maintaining the University By-Laws, Board meeting minutes, and supplemental materials, serving as a liaison/resource to internal and external constituents for the Board of Trustees, and monitoring and maintaining the Board of Trustees website and database.
