About the position

The Executive Assistant to the President plays a crucial role in ensuring the efficient management of daily operations within the offices of the President at WETCC. This position requires a professional who possesses excellent judgment and demonstrates superior written and verbal communication skills. The Executive Assistant must pay close attention to detail, exemplify a positive demeanor, and effectively balance multiple priorities. This role involves assisting with both internal and external public relations and communications, managing the President's calendar, and interacting with all WETCC employees, students, and other institutions of higher education, as well as the public. The Executive Assistant is also expected to engage in college and community service to help fulfill the mission and vision of the institution. On a typical day, the Executive Assistant will contribute to teamwork, resourcefulness, confidentiality, and effective communication. Specific responsibilities include providing calendar management for the President, prioritizing inquiries and requests, and troubleshooting conflicts to ensure smooth day-to-day engagements. The Executive Assistant will complete various administrative tasks that facilitate the President's ability to lead the college effectively, including assisting with special projects, designing and producing complex documents, reports, and presentations, and preparing information for meetings. This position also requires maintaining contact lists, making travel arrangements, and completing expense and mileage reports. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President, including those of a highly confidential or critical nature. This role involves researching and prioritizing issues before determining the appropriate course of action, reflecting the President's style and organizational policy. The Executive Assistant will communicate directly on behalf of the President and respond to emails, texts, and phone calls outside normal business hours as needed. Additionally, the Executive Assistant will act as a liaison to the Board of Trustees, handling logistics for Board meetings and events, scheduling meetings, drafting agendas, and recording open meeting minutes. This position requires close collaboration with the President to keep them informed of upcoming commitments and responsibilities, conserving the President's time by reading, researching, and collecting information in advance. The Executive Assistant will also coordinate the President's Cabinet/Executive Leadership Team meetings and retreats, assist with other meetings and events, and maintain discretion and confidentiality in relationships with Board members. Representing the College and the Office of the President positively is essential, as is providing a professional greeting to guests, whether in person or on the phone.

Responsibilities

  • Provide calendar management for the President, prioritizing inquiries and requests while troubleshooting conflicts.
  • Complete administrative tasks that facilitate the President's ability to lead the college, including assisting with special projects and preparing documents.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the President.
  • Act as a liaison and provide support to the Board of Trustees, arranging logistics for meetings and events.
  • Work closely with the President to keep them informed of upcoming commitments and responsibilities.
  • Coordinate the President's Cabinet/Executive Leadership Team meetings and retreats.
  • Provide gatekeeper and gateway roles, ensuring smooth communication between the President and others.
  • Work with the President's Cabinet to coordinate outreach activities and follow up on contacts made by the President.
  • Maintain discretion and confidentiality in relationships with Board members.
  • Represent the College and the Office of the President positively, greeting guests professionally.

Requirements

  • Associate degree and two or more years of experience working for senior administrators or executives; or an equivalent amount of education and applicable professional work experience.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Exceptional organization, multi-tasking, and prioritization skills.
  • Demonstrated experience working with diverse cultures and populations.
  • Excellent computer experience including Microsoft Office programs.
  • Current driver's license and insurance.
  • Ability to pass a background check before being offered employment.
  • Ability to travel for professional development and job-related activities.
