About the position

The Executive Assistant to the President provides high-level administrative support to the Office of the President and serves as Secretary to the Board of Trustees. This role involves managing the day-to-day operations of the president's office, ensuring confidentiality, and facilitating communication between the president and various stakeholders. The position requires a professional and loyal relationship with the president, making judgments and recommendations to ensure smooth operations.

Responsibilities

  • Manage the day-to-day activities of the president's office, working independently and collaboratively with all areas of the college.
  • Perform routine functions such as preparing correspondence, managing emails, incoming/outgoing mail, phones, calendar, receiving visitors, arranging conference calls, scheduling meetings, and maintaining files.
  • Participate in senior leadership meetings by attending all required meetings, scheduling meeting rooms, taking and recording meeting notes, and drafting meeting agendas.
  • Responsible for scheduling board room and conference rooms utilizing a scheduling software program.
  • Arrange travel plans and itineraries, including airline and hotel reservations.
  • Serve as secretary to the board, maintaining discretion and confidentiality in relationships with all board members, adhering to compliance, rules, and regulations set in bylaws regarding the board and board committees.
  • Keep the board web page up-to-date, organize, update, and maintain board records/files, and handle communications to the board from the office of the president.
  • Prepare for board meetings, including sending invitations, organizing board dinners, preparing academic attire for board members, guests, and commencement speakers, and coordinating travel for commencement speakers.

Requirements

  • Bachelor's degree required, master's degree preferred.
  • At least 5 years of office experience supporting high-level administrators, preferably in higher education.
  • Proficient technical skills in MS Office including Word, PowerPoint, Outlook, and SharePoint.
  • Strong written and verbal communication skills, including the ability to build cooperative relationships with staff, board members, external partners, and donors.
  • Experience in maintaining confidentiality and handling confidential information with a high degree of discretion.
  • Strong analytical and problem-solving skills required.
  • Demonstrated ability to work in an inclusive community.
