About the position

The Executive Assistant to the Provost provides high-level administrative support to the Provost and Executive Vice President for Academic Affairs at Colorado State University Pueblo. This role is crucial in managing the Provost's schedule, communications, and various administrative tasks to facilitate effective leadership within the university. The position requires discretion, problem-solving skills, and the ability to handle sensitive information while supporting the academic mission of the university.

Responsibilities

  • Maintain the Provost's schedule and calendar reflecting priorities.
  • Review and prioritize the Provost's email inbox for review and response.
  • Represent the Provost to senior vice presidents, deans, and directors; serve as liaison for the Provost's office.
  • Support and track the Provost's priorities, projects, and needs; act as notetaker at meetings.
  • Process and archive documents reviewed/signed by the Provost; ensure timely processing of office documents.
  • Manage the Provost's Office general email account and calendar, drafting communications as needed.
  • Draft and prepare correspondences, memos, reports, and newsletters.
  • Draft speaking points and presentations for the Provost for various engagements.
  • Liaise with Marketing Communications & Community Relations for Academic Affairs-related communications.
  • Process and track current job offers through Filebound; verify accuracy of information.
  • Provide administrative support to academic affairs leadership and guidance for administrative assistants.
  • Coordinate events for the Provost/Office of the Provost, including logistics and documentation.

Requirements

  • Bachelor's degree in business management, communications, marketing, education or related field from a regionally accredited university.
  • Excellent written communication, organizational, and problem-solving skills.
  • Three years' experience in an administrative role.
  • Experience managing office communications and calendar scheduling.
  • Experience developing effective working relationships with colleagues and the public.
  • Experience managing multiple projects in a fast-paced environment.
  • Experience conducting research and preparing professional presentations.
  • Experience working with highly confidential information.
  • Proficient use of Microsoft Word, Excel, and PowerPoint.

Nice-to-haves

  • Master's degree in business management, communications, marketing, education, or related field.
  • Experience in an Academic Affairs setting.
