About the position

The Executive Assistant to the Provost at Columbia University provides comprehensive executive-level support to the Provost and the Chief of Staff of the Office of the Provost. This role is crucial for ensuring smooth operations and effective communication within the office and with various stakeholders, including university administrators, faculty, and external partners. The Executive Assistant will manage complex calendars, coordinate meetings, and oversee special projects, while also supervising support staff.

Responsibilities

  • Manages complex calendars and travel arrangements for the Provost.
  • Screens incoming communications and determines appropriate actions.
  • Initiates and administers document tracking for correspondence.
  • Coordinates resource information for meetings and prepares reports and presentations.
  • Provides support to the Chief of Staff, managing their calendar and communications.
  • Advises on organizational and staffing issues related to Office of the Provost initiatives.
  • Supports other members of the Office of the Provost Senior Staff as needed.
  • Responsible for strategic planning and workflow for the office.
  • Implements new procedures and organizes special initiatives.
  • Creates a responsive office environment for various stakeholders.
  • Serves as liaison to academic and administrative offices and external partners.
  • Supervises Senior Administrative Coordinator and temporary staff, coordinating with HR on relevant matters.
  • Performs other duties as assigned.

Requirements

  • Bachelor's degree required.
  • Minimum of five years of related experience assisting an executive or senior level administrator.
  • Demonstrated success in managing office operations and multiple priorities.
  • Deep knowledge of the university setting.
  • Experience collaborating with executive level offices and personnel.
  • Ability to set priorities and manage support personnel.
  • Strong verbal, written, and computer skills.
