About the position

The Eastern North Carolina School for the Deaf (ENCSD) is a state school dedicated to providing a specialized learning environment for deaf and hard of hearing students from kindergarten through 12th grade. The school serves the 54 easternmost counties of North Carolina and follows a typical school calendar. The ENCSD is committed to offering an academic setting that includes standards-based instruction, low classroom ratios, career and vocational skills development, and the use of current technology to create an accessible learning environment. The school promotes both intentional and experiential learning to enhance student academic achievement and social/emotional well-being. The Executive Assistant to the School Director plays a crucial role in supporting the School Director by providing comprehensive clerical and secretarial services. This position involves managing the School Director's calendar, answering phone calls, taking messages, scheduling meetings, and organizing conference calls. The Executive Assistant is responsible for attending meetings, taking minutes, typing correspondence, and maintaining organized files for easy access to important information. Additionally, the role includes completing travel authorization forms, scheduling the use of state vehicles, and handling flight arrangements for the Director and visitors. This position operates Monday through Friday from 8:00 am to 4:30 pm, and it is a 12-month position. Flexibility in hours may be required based on the school calendar or the needs of the program or students. The Executive Assistant will have daily contact with the School Director and will be responsible for creating and prioritizing daily tasks, screening and greeting visitors, and maintaining communication with various staff members and the general public. The role also involves compiling and maintaining paperwork, assisting with reports, and performing other specific work projects as assigned by the School Director.

Responsibilities

  • Manage the School Director's calendar and schedule meetings.
  • Answer phone calls and take messages for the School Director.
  • Attend meetings and take minutes to be distributed.
  • Type minutes and correspondence as needed.
  • File and maintain organized notebooks on important information.
  • Complete travel authorization and reimbursement forms.
  • Schedule the use of state vehicles for the School Director.
  • Screen and greet visitors, staff, and students.
  • Compile and maintain paperwork for the School Director.
  • Make phone calls as directed by the School Director.
  • Assist with reports requested regarding school and students.
  • Handle all flight arrangements for the Director and visitors.
  • Compose letters or memos to staff, parents, and outside agencies as requested.
  • Develop and maintain the Organization Chart of staff.
  • Proofread and reword documents as necessary.
  • Maintain files by subject and reorganize files as needed.
  • Keep spreadsheets updated for data and reports.
  • Manage incoming and outgoing mail for the Director.
  • Type work orders for repairs and requisitions for purchases as needed.
  • Create acknowledgment correspondence and thank you notes for donations.
  • Assist with scheduling staff development.

Requirements

  • High school diploma or GED and two years of related administrative experience, or equivalent combination of education and experience.
  • Demonstrated knowledge in performing administrative tasks, including interpreting information and utilizing modern office equipment.
  • At least 3 years of previous experience working in an administrative role in a school/educational setting or as an assistant to an Executive Leadership position.

Nice-to-haves

  • Experience communicating effectively using American Sign Language.
