About the position

The Executive Assistant to the Superintendent plays a crucial role in supporting the day-to-day operations of the L'Anse Creuse Public Schools district. This position involves managing correspondence, preparing Board meeting materials, maintaining records, and providing administrative support to the Superintendent and Cabinet members. The role requires excellent organizational skills, attention to detail, and the ability to communicate effectively with various stakeholders.

Responsibilities

  • Assist the Superintendent and Cabinet members with daily operations of the district.
  • Manage daily correspondence on behalf of the Superintendent.
  • Prepare monthly Board of Education agendas and gather information for Board meeting packets.
  • Maintain paperless software agenda files for the Board, including agenda packets and resource materials.
  • Act as recording secretary for the Board of Education, attending meetings and preparing minutes.
  • Handle clerical support needs of the Board of Education.
  • Assist in developing policy and administrative guidelines for consistency and formatting.
  • Conduct data research on policies and laws affecting public schools.
  • Maintain the Board of Education Policy Manual and Operating Procedures Manual.
  • Serve as the contact person for policy questions from the public.
  • Prepare crisis communication and parent letters for schools.
  • Develop communication language for the board, parents, staff, and community.
  • Schedule student discipline hearings and maintain related files as required by law.
  • Send parent communication regarding long-term suspension and expulsion recommendations.
  • Collaborate with the Community Relations Coordinator to create presentations and graphic materials for the Superintendent's Office.
  • Schedule meetings and appointments for the Superintendent with stakeholders.
  • Maintain filing systems and databases for general and Board files.
  • Manage the district Intranet/Internet website for the Superintendent's Office.
  • Maintain all Board information on the district website, including agendas and minutes.
  • Oversee budget and accounting records for the Superintendent and Board of Education.
  • Handle registration for conferences, workshops, and CBA attendance for Board Members and the Superintendent.
  • Manage ordering and purchasing for the Superintendent's Office and Board of Education.
  • Perform general office procedures such as opening mail and copying documents.
  • Maintain the office Tickler File and duties of the Notary Public.
  • Supervise the Community Relations Coordinator and provide leadership and guidance.

Requirements

  • College degree preferred or equivalent education plus experience in an office environment.
  • Five years of related administrative experience in a professional setting.
  • Customer service skills required.
  • Advanced proficiency in typing (60 wpm).
  • Basic proficiency in accounting/bookkeeping.
  • Solid working knowledge of office procedures and technical applications including word processing, database management, spreadsheets, and presentation software.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with experience providing administrative support.
  • Ability to maintain comprehensive and accurate records with great attention to detail.
  • Ability to initiate and follow-through on tasks independently as a strong self-starter.
  • Ability to multitask, assess priorities, and maintain composure and diplomacy at all times.
  • Excellent organization skills and ability to work effectively in a fast-paced, multitasked environment.
