About the position

The Executive Assistant at Collective Health plays a crucial role in supporting the Senior Vice President of Engineering and the Senior Vice President of Product & Chief Clinical Officer, along with 1-3 other senior leaders. This position is designed to enhance the efficiency and effectiveness of the SVPs by managing their calendars, preparing important materials, and facilitating communication across various teams. The ideal candidate will possess exceptional time management skills and the ability to handle sensitive information with discretion, acting as a trusted partner in achieving business priorities.

Responsibilities

  • Manage SVPs' calendars and schedule in-person and virtual meetings.
  • Exercise discretion in committing time and evaluating needs for the SVPs.
  • Determine priority of matters for the SVPs and redirect as necessary.
  • Proactively identify and track time-sensitive issues and follow up on action items.
  • Collaborate with other Executive Assistants to support additional leaders as needed.
  • Engage with internal and external stakeholders using exceptional communication skills.
  • Host external guests as needed and schedule departmental meetings.
  • Prepare and distribute meeting agendas and materials.
  • Reconcile and submit expense reports; maintain corporate credit card.
  • Attend meetings, take notes, and prepare initial drafts of minutes and summaries.
  • Complete special projects including creating presentations and reports.
  • Manage travel arrangements for SVPs, including domestic and international travel.

Requirements

  • 5+ years of prior experience supporting C-suite executives.
  • Exhibit sound judgment with the ability to prioritize and make decisions.
  • Demonstrate creative problem solving and navigate team dynamics.
  • Comfortable working with high-level executives and board members.
  • Excellent collaboration skills to cultivate productive working relationships.
  • Resourceful with a can-do attitude and flexibility to adapt to changing priorities.
  • Bachelor's degree or equivalent experience required.
  • Experience in a fast-growing company preferred.
