About the position

The Executive Assistant to the Vice Chancellor of Education & Planning provides high-level administrative support to the Vice Chancellor, managing a variety of executive secretarial tasks with minimal supervision. This role is crucial in facilitating the educational planning and services of the District, requiring confidentiality, technical skills, and the ability to exercise judgment in various situations.

Responsibilities

  • Provide executive secretarial support to the Vice Chancellor, relieving them of clerical and administrative duties.
  • Serve as a liaison between the Vice Chancellor and the public, students, staff, and other officials.
  • Prepare and assemble agenda materials, reviewing documents for accuracy and compliance.
  • Anticipate the needs of the Vice Chancellor regarding meetings and negotiations.
  • Assist in developing procedures for efficient information transmittal and policy implementation.
  • Arrange and schedule meetings and conferences, including travel arrangements.
  • Research information and assist in preparing annual budgets and reports.
  • Manage the flow of information and communications, maintaining confidentiality.
  • Compose complex correspondence and maintain databases for various projects.
  • Establish and maintain complex filing systems related to educational planning.

Requirements

  • Associate's degree in business administration or related field.
  • Four years of increasingly responsible professional administrative experience.
