About the position

The Executive Assistant to the Vice Chancellor at UCSF provides high-level executive administrative support, managing the office environment and ensuring compliance with internal controls. This role involves liaising with various stakeholders, handling confidential materials, and overseeing special projects and events related to diversity and outreach initiatives.

Responsibilities

  • Provide high-level executive administrative support to the Vice Chancellor, Diversity and Outreach.
  • Manage the office environment ensuring compliance with internal controls and practices.
  • Serve as a key liaison with the Chancellor's Office, Deans' offices, and other campus administrators.
  • Handle highly confidential materials and situations with discretion.
  • Oversee and manage annual and special events, including planning and diversity committees.
  • Support initiatives and special projects related to diversity and outreach.

Requirements

  • Bachelor's degree in a related area and a minimum of three years of experience or equivalent training.
  • Demonstrated ability to communicate clearly and effectively both verbally and in writing.
  • Excellent verbal, written, and interpersonal communication skills, including editing and independent writing skills.
  • Ability to work effectively with diverse and multi-cultural constituencies.
  • Experience in handling confidential and sensitive situations with respect and good judgment.
  • Demonstrated executive support experience, including management of complex calendars and competing meeting requests.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook for complex scheduling.
  • Experience in managing and coordinating successful diversity-related programs and events.

Nice-to-haves

  • Knowledge of UC and UCSF organization as well as UC policies and procedures.
  • Demonstrated executive support experience at UCSF or another UC campus.
