About the position

The Executive Assistant to the Vice President provides advanced-level support to the Office of the President's leadership team at Tulane University. This role is pivotal in ensuring the smooth operation of the President's Office, as it involves a variety of administrative tasks that are essential for the daily functioning of the office. The Executive Assistant will primarily support the Vice President for University Relations while also serving as backup support for the Senior Aide to the President. This includes maintaining calendars, preparing for meetings, and coordinating logistical arrangements for various engagements. The Executive Assistant will be the initial point of contact for both internal and external constituencies, which requires a high level of professionalism and discretion. In addition to routine administrative duties, the Executive Assistant will prepare for presidential engagements by developing event briefings and drafting communications. This position demands strong professional judgment and the ability to work autonomously, as the Executive Assistant will be expected to make independent decisions and evaluate methods to achieve work-related goals and objectives. The role is critical in supporting the leadership team and ensuring that all administrative functions are executed efficiently and effectively, contributing to the overall mission of the university.

Responsibilities

  • Provide advanced-level administrative support to the Vice President for University Relations.
  • Maintain calendars and prepare for meetings.
  • Coordinate logistical arrangements for various engagements.
  • Serve as the initial point of contact for internal and external constituencies.
  • Prepare event briefings and draft communications for presidential engagements.
  • Provide backup support for the Senior Aide to the President in their absence.
  • Exercise professional judgment and make independent decisions regarding administrative tasks.
  • Evaluate and implement methods to achieve work-related goals and objectives.

Requirements

  • Bachelor's Degree and two (2) years of directly related experience OR High School Diploma/Equivalent and eight (8) years of directly related experience.
  • Highly proficient computer skills with excellent working knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Access).
  • Excellent oral and written communication skills.
  • Strong interpersonal and resource management skills.
  • Ability to manage multiple tasks independently and meet established deadlines.
  • Ability to maintain confidentiality in all work performed.

Nice-to-haves

  • More than two (2) years of directly related experience in a higher education environment.
