About the position

Mountain Empire Community College is seeking an Executive Assistant to the Vice President, who will provide comprehensive administrative support to both the Vice President of Finance and Administrative Services and the Vice President of Institutional Advancement. This role is crucial in ensuring the smooth operation of the college's administrative functions, as the Executive Assistant will be responsible for managing schedules, organizing events, and facilitating communication between various stakeholders, including the Foundation and Advisory Boards, donors, and community members. The position requires a high level of professionalism and the ability to handle sensitive information with discretion. The Executive Assistant will spend approximately 50% of their time supporting the Vice President of Finance and Administrative Services and the other 50% supporting the Vice President of Institutional Advancement. This dual support role necessitates excellent organizational skills, attention to detail, and the ability to prioritize tasks effectively. The successful candidate will be expected to demonstrate exceptional verbal and written communication skills, as well as strong interpersonal abilities to foster positive relationships with colleagues and external partners. In addition to administrative duties, the Executive Assistant will play a key role in event planning and coordination, requiring flexibility in working hours to accommodate various Foundation events. The ability to work independently and creatively solve problems is essential, as is a basic understanding of accounting practices and financial reporting. The position also demands proficiency in Microsoft Office Suite, particularly Excel, Outlook Calendar, and Word, along with experience in creating financial reports and learning new software packages.

Responsibilities

  • Provide administrative support to the Vice President of Finance and Administrative Services and the Vice President of Institutional Advancement.
  • Manage schedules and coordinate meetings for both Vice Presidents.
  • Facilitate communication with the Foundation and Advisory Boards, donors, and community members.
  • Assist in planning and organizing events, ensuring all logistical details are handled effectively.
  • Create and maintain meticulous records and reports, including financial reports.
  • Respond to inquiries and assist clients with a calm and courteous demeanor.
  • Work independently during the absence of a supervisor and demonstrate problem-solving skills in office management.

Requirements

  • Extensive experience in an administrative role, or an associate's or higher degree in a related field.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Proficiency in Microsoft Office Suite, especially Excel, Outlook Calendar, and Word.
  • Excellent organizational skills and attention to detail.
  • Expert understanding of clerical procedures and systems such as record keeping and bookkeeping.
  • Ability to maintain confidential records and write business correspondence.
  • Basic knowledge of accounting practices and ability to learn accounting software systems.
