About the position

The Executive Assistant to the VP Regional Executive Europe and Middle East at Northrop Grumman plays a crucial role in providing high-level administrative support to the VP and other senior executives. This position involves managing the executive's schedule, coordinating meetings, and handling sensitive information with discretion. The ideal candidate is proactive, detail-oriented, and possesses strong communication skills, thriving in a fast-paced and collaborative environment.

Responsibilities

  • Providing administrative support to the VP and other senior executive team members as needed.
  • Handling details of a highly confidential and critical nature.
  • Collecting and preparing information for use in discussions/meetings of executive staff and outside individuals.
  • Preparing presentation materials for leadership meetings.
  • Making high level contacts of a sensitive nature inside and outside the company.
  • Working on problems of diverse scope with analysis of data requiring evaluation of identifiable factors.
  • Exercising judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
  • Facilitating program meetings, executive meetings, and customer visits.
  • Demonstrating a wide and comprehensive acquaintance with, and understanding of, both general and specific aspects of the job and their practical application to complex problems and situations ordinarily encountered at the executive level.
  • Operating independently to meet requirements of leadership team and offering expertise to assist other functions within the organization.
  • Assisting events and activities of major organization initiatives.
  • Report generation and compilation.

Requirements

  • High School Diploma and 6 years of relevant experience in the administrative professional field, or Associate's Degree and 4 years of relevant experience, or Bachelor's degree and 2 years of relevant experience.
  • Understanding of the sensitive nature of working in the executive office with good judgment and problem-solving skills.
  • Ability to work independently and foresee future needs.
  • Comfortable operating in a fast-moving environment.
  • Ability to solve problems and meet deadlines with flexibility.
  • Demonstrated ability to manage multiple administrative projects and initiatives.
  • Advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook, and Excel) and intranet/internet proficiency.
  • Experience with Concur (or similar) travel and expense reporting system.
  • Experience proofreading and correcting documents for grammatical errors.

Nice-to-haves

  • Bachelor's or Associate's degree preferred.
  • Familiarity with Northrop Grumman's specific systems (SAP, Concur, Facilities requests, IBUY, etc.).
  • Knowledge of NGC resources, policies, and procedures.
  • Active DoD clearance preferred, but not required for consideration.
