About the position

The Executive Assistant to the VP of Sales at MMC is a pivotal role that involves managing office operations and providing direct executive support to the Vice President of Sales. This position requires a service-driven professional who is exceptionally organized, prompt, and possesses outstanding communication and relationship-building skills. The role demands a proactive approach to managing complex schedules and responding efficiently to communications, while also supporting sales initiatives and administrative tasks.

Responsibilities

  • Manage office operations and provide executive administrative support to the VP of Sales.
  • Proficiently use technology and software management, including Microsoft Office Suite and communication tools.
  • Generate sales reports and analytics to assist Sales Executives in evaluating performance.
  • Assist in creating presentations, reports, and promotional materials in collaboration with design and marketing teams.
  • Act as an administrative liaison with internal and external stakeholders regarding purchasing and operations.
  • Handle credit card transactions and manage expenses through Concur.
  • Organize and send out company mailers and holiday cards, and coordinate company photos and write-ups for employee milestones.
  • Manage calendars, schedule meetings, and optimize the VP's time and productivity.
  • Coordinate travel arrangements and itineraries for business trips and events.
  • Maintain a professional presence in all interactions and demonstrate strong interpersonal skills.

Requirements

  • Minimum 10+ years of demonstrated experience in a similar role.
  • High level of confidentiality and discretion.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to work under pressure and meet tight deadlines.
  • Confident and assertive, with the ability to take initiative.
  • Proficient in calendar management and scheduling.
  • Experience in coordinating travel and managing business meetings.

Nice-to-haves

  • A college degree is preferred, but relevant experience is highly valued.
  • A solid social media presence is a nice bonus, but not required.
