About the position

At Northrop Grumman, we are seeking an Executive Assistant to support our Vice President in Palmdale, California. This role is pivotal in providing a broad range of administrative support, requiring exceptional organizational and multi-tasking skills. The ideal candidate will thrive in a fast-paced environment, managing diverse assignments while maintaining a collaborative team spirit. The Executive Assistant will be responsible for interacting confidentially with all levels of leadership, demonstrating a proactive mindset, and possessing excellent communication and interpersonal skills. The Executive Assistant will be tasked with various responsibilities, including providing administrative support to program leadership, collecting and preparing information for executive discussions and meetings, and analyzing data to identify solutions to complex problems. The role also involves facilitating program meetings, executive meetings, customer visits, and other events, as well as arranging executive-level travel, including reservations for the company plane. The selected candidate will operate independently to meet the leadership team's requirements and will be expected to handle highly confidential and critical details with strong judgment. To succeed in this role, candidates must have a high school diploma or GED and a minimum of 8 years of experience, including prior Executive Assistant experience. Advanced proficiency in Microsoft Office applications, particularly Word, PowerPoint, Outlook, Excel, and SharePoint, is essential. The ability to interface with executive-level contacts and efficiently coordinate calendars and meetings is also required. Candidates must be able to obtain a DoD Secret clearance and may need to travel up to 25% of the time. Preferred qualifications include a bachelor's or associate's degree, familiarity with Northrop Grumman's systems, and advanced experience with travel and expense reporting systems.

Responsibilities

  • Providing administrative support to the program leadership as assigned.
  • Collecting and preparing information for use in discussions/meetings of executive staff and external customers.
  • Analyzing data to determine root cause of complex problems and to identify solutions.
  • Facilitating program meetings, executive meetings, customer visits, and other events.
  • Arranging executive level travel arrangements to include reservation of the company plane.
  • Demonstrating a wide and comprehensive acquaintance with, and understanding of, both general and specific aspects of the job and their practical application to complex problems and situations ordinarily encountered at the executive level.
  • Operating independently to meet the requirements of the leadership team and offering expertise to assist other functions within the organization.
  • Report generation and compilation.
  • Handling details of a highly confidential and critical nature.
  • Making high level contacts of a sensitive nature both within and outside of the company.
  • Exercising strong judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

Requirements

  • High school diploma/GED and a minimum of 8 years' experience to include Executive Assistant experience.
  • Advanced experience in Microsoft Office (Word, PowerPoint, Outlook, Excel, and SharePoint).
  • Demonstrated ability to interface with executive level contacts (internal and external).
  • Demonstrated ability to efficiently coordinate Outlook calendar, meetings, and other events/activities.
  • Ability to obtain a DoD Secret clearance (last investigation completed within the last 6 years) as well as ability to obtain Special Program Access.
  • Ability to travel up to 25%.

Nice-to-haves

  • Bachelor's or associate's degree.
  • Familiarity with Northrop Grumman's systems (SAP, Concur, Facilities requests, IBUY, etc.).
  • Knowledge of NGC resources, policies, and procedures.
  • Advanced experience with Concur (or similar) travel and expense reporting system.
