About the position

Innova Solutions is immediately hiring for an Administrative - Executive Assistant position, which is a full-time contract role lasting 12 months. The position is based in Lawrenceville, NJ, and requires onsite presence. The Executive Associate II will provide comprehensive administrative support to the Chief Inclusion & Diversity Officer and the Global Inclusion & Diversity (GI&D) team. This role involves a variety of administrative duties that require high-level contact and exposure to confidential information, necessitating the use of tact, diplomacy, discretion, and sound judgment. The ideal candidate must excel in organization, prioritization, and multi-tasking, and possess strong communication skills, while maintaining composure in a fast-paced work environment. The responsibilities of the Executive Assistant include general administrative support, communication management, calendar management, travel and expense management, and event/meeting management. The Executive Assistant will be responsible for maintaining team distribution lists, scheduling meetings across time zones, managing travel arrangements, and ensuring meeting readiness by preparing materials and coordinating logistics. Additionally, the role involves liaising with various support teams to resolve issues, managing business operations such as purchase orders and invoicing, and collaborating with other administrative associates to meet business needs. Candidates should have a high school degree and relevant administrative experience, preferably as an Executive Associate. Proficiency in Microsoft Suite and familiarity with tools like Concur, Ariba/SAP, SharePoint, and Workday is strongly desired. The role requires strong interpersonal skills, a proactive approach, and the ability to work independently and collaboratively across different organizational levels. A positive work attitude, growth mindset, and the ability to handle confidential matters are essential for success in this position.

Responsibilities

  • Provide executive level administrative assistance.
  • Maintain team and subject-focused distribution lists; distribute messages on behalf of the GI&D team.
  • Schedule and prioritize meetings across time zones, proactively resolving conflicts.
  • Assist with business travel arrangements, visa applications, and reconciliation of expense reports.
  • Plan and execute department events and meetings, ensuring readiness and logistics are managed effectively.
  • Liaise with support teams to resolve issues related to technology, software, and facilities.
  • Manage business operations including purchase orders, office supply orders, and invoicing.
  • Interface professionally with senior executives and handle confidential information with discretion.
  • Collaborate with administrative associates from other departments to meet business needs.

Requirements

  • High School degree.
  • Administrative or comparable experience; prior Executive Associate experience preferred.
  • Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with Concur Travel and T&E, Ariba/SAP, SharePoint, Workday, and Room Scheduler strongly desired.
  • Strong interpersonal skills and ability to work in a team-oriented environment.
  • Ability to prioritize tasks and work independently and collaboratively across organizational levels.
  • Responsive with a sense of urgency and ability to plan ahead while executing day-to-day operations.
  • Proven ability to handle confidential matters and represent the department professionally.
