About the position

As an Executive Assistant to the Vice President at American Airlines, you will play a crucial role in supporting the Chief Diversity Officer within the corporate team. You will be responsible for providing key administrative and organizational support, ensuring that the office runs smoothly and efficiently. Your responsibilities will include heavy calendar management, preparing travel arrangements for both domestic and international trips, and creating detailed itineraries. You will also be tasked with composing correspondence, preparing presentations, reports, and other ad hoc materials, as well as managing time and attendance, expense reports, invoices, and ordering supplies. Additionally, you will plan and prepare meetings, handling logistics, documents, presentations, and catering needs. This position requires a proactive approach and the ability to function as an integral part of a team with minimal supervision. You will be expected to respond to customer requests and complaints within your authority and direct inquiries outside of your authority to the appropriate staff member. The role is designed for someone who thrives in a fast-paced environment and is known for their emotional intelligence, making it essential to manage multiple tasks simultaneously while maintaining a high standard of work.

Responsibilities

  • Protect the integrity of confidential information for all matters.
  • Prioritize conflicting needs and requests effectively.
  • Manage heavy calendar scheduling for the Chief Diversity Officer.
  • Prepare travel arrangements, including domestic and international travel, hotel accommodations, transportation, and itinerary creation.
  • Interact with all levels of management, corporate clients, and business community leaders.
  • Respond to customer requests and complaints within limits of authority and direct inquiries outside of authority to the appropriate staff member.
  • Compose correspondence, prepare presentations, reports, and other ad hoc materials.
  • Handle incoming telephone calls and inquiries; route calls appropriately.
  • Manage time and attendance, expense reports, invoices, and ordering of supplies.
  • Plan and prepare meetings, including logistics, documents, presentations, and catering.

Requirements

  • Bachelor's Degree in a relevant field or equivalent experience/training.
  • 7+ years' work experience in a prior executive assistant role supporting a VP.
  • Knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Skilled in analytics and problem-solving.
  • Ability to prioritize work, be detail-oriented, and meet deadlines.
  • Ability to perform in a fast-paced environment and manage multiple tasks simultaneously.
  • Known for emotional intelligence.
  • Experience with Workbrain, Coupa, and Concur.
