About the position

The Executive Assistant plays a crucial role in supporting the CEO, Executive Leadership Team, and the Board of Directors by managing schedules, preparing meeting documents, and overseeing day-to-day functions of the corporate office. This position requires maintaining records, coordinating travel, and ensuring effective communication across departments while handling confidential information and special projects as needed.

Responsibilities

  • Schedules meetings for the CEO, Executive Leadership Team, and Board of Directors.
  • Prepares meeting documents and manages meeting logistics.
  • Maintains records for the organization and Board governance.
  • Records and maintains documents for all meetings.
  • Oversees day-to-day functions of the corporate office, including direct supervision of the Corporate Office Manager.
  • Reviews and prepares documentation and contracts for executive approval.
  • Interfaces with legal counsel to have contracts reviewed and tracked.
  • Oversees storing, updating, and maintaining BHN organizational policies and procedures.
  • Acts as liaison with all programs and departments ensuring effective communication.
  • Coordinates travel for meetings and conferences.
  • Prepares essential documents for auditors.
  • Maintains confidential and sensitive information.
  • Works on special projects as needed.
  • Performs other duties as assigned.

Requirements

  • High School Diploma or GED required.
  • Minimum of 3 years office administration experience.
  • Prior experience supporting executive leaders.
  • Background with contracts and legal preferred.
  • Exceptional written and verbal communication skills.
  • Well organized with the ability to multitask.
  • Excellent interpersonal skills.
  • Excellent time management skills.
  • Working knowledge of Office 365 applications.
  • Proactive attitude and the ability to work independently.
