About the position

As an Executive Assistant at Ascension, you will play a crucial role in supporting senior executives by managing their calendars, coordinating travel, and handling confidential information. Your primary responsibility will be to ensure that executives can focus on their strategic priorities by resolving operational and administrative issues proactively. This position requires strong organizational skills, business judgment, and the ability to communicate effectively with various stakeholders.

Responsibilities

  • Serve as gatekeeper and gateway to the Vice President and their support teams through proactive and strategic complex calendar management.
  • Maintain established calendar expectations, ensuring accurate scheduling and prioritization, requiring meeting agendas ahead of confirming meeting acceptance.
  • Manage multiple calendars to enable efficient scheduling of requested meetings across multiple domestic and global time zones.
  • Coordinate travel arrangements and logistics including flights, accommodations, ground transportation, and business meals.
  • Plan and execute logistics of in-person meetings.
  • Build efficiency and effective responsiveness into existing operations, and help define new operational strategies.
  • Provide backup coverage for other administrative professionals in the Communication community.

Requirements

  • High School diploma or GED required.
  • Minimum of three years of experience in a fast-paced environment, supporting senior executives.
  • Expert proficiency in email, calendar, expense processing, and travel technology solutions.
  • Ability to adhere to an expectation of complete confidentiality on all business matters.

Nice-to-haves

  • Experience using Google Workspace tools.
  • Willingness to travel at least once per quarter to support in-person meetings.
