About the position

Celestar Corporation is actively seeking an Executive Assistant to support the Department of Commerce in Washington, DC. This position is critical as it involves performing sensitive and highly visible administrative functions for a small group of Senior Executives. The Executive Assistant will often be the first point of contact for the Executive, necessitating a high level of professionalism and discretion. The role may involve access to highly confidential activities, requiring comprehensive knowledge of organizational policies, practices, and procedures. The Executive Assistant will administer specialized programs and may act as a proxy for the executive. Responsibilities include the administrative preparation, maintenance, reconciliation, transition, and tracking of both digital and paper investigative case/work files. The role also involves planning and producing executive correspondence, operating general office equipment, and demonstrating proficiency with Office Suite software applications. Additionally, the Executive Assistant will manage schedules and calendars, assist the Department of Commerce Investigations and Threat Management Service (ITMS) staff with administrative preparations related to legal processes, case presentations, and prosecutions. Other duties include performing and documenting various specified records checks, coordinating and executing physical, operations, information, and communications security administrative assignments, assisting ITMS staff with applicant screening and personnel processing, and preparing and coordinating travel, equipment inventories, and assignment preparations. This position requires a proactive individual who can handle multiple tasks efficiently while maintaining a high level of confidentiality and professionalism.

Responsibilities

  • Perform sensitive and highly visible administrative functions for Senior Executives.
  • Act as the first point of contact for the Executive.
  • Administer specialized programs and may act as a proxy for the executive.

Requirements

  • Must possess an active TS/SCI security clearance.
  • Excellent verbal and writing skills are required.
  • Demonstrated experience in secretarial and administrative duties, including planning and producing correspondence, reports, and memos.
  • Proficiency in operating spreadsheet software such as Microsoft Excel.
  • Six (6) or more years of related experience is required.
  • An Associate's degree is required.
