About the position

The Executive Assistant will provide comprehensive administrative and executive support to a brokerage team, ensuring efficient operations and effective communication. This role requires a highly organized individual who can manage multiple tasks in a fast-paced environment while maintaining professionalism and confidentiality.

Responsibilities

  • Provide full executive support to a brokerage team, representing them to the public through various communications.
  • Manage day-to-day business operations and client interactions for the team.
  • Handle email management with detailed follow-up.
  • Improve processes and procedures continuously.
  • Manage full calendar scheduling and appointments.
  • Maintain client relations and coordinate travel arrangements.
  • Plan client events and meetings, including ad hoc events.
  • Act as a liaison to internal departments for client requests.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Prioritize and manage multiple projects simultaneously.

Requirements

  • 0-2 years of administrative support experience supporting executive level leaders.
  • Proficiency in Microsoft Windows and Office (Word, Excel, PowerPoint, and Outlook).
  • Excellent computer and typing skills.

Nice-to-haves

  • Experience with Adobe Creative Cloud (InDesign, Illustrator, Photoshop).
  • An associate degree or higher.
  • Problem solver and proactive thinker.
  • Ability to anticipate the needs of the executive in advance.
  • Ability to perform in-person/on-the-phone dictation.
  • Highly motivated with a capacity to multi-task in a fast-paced environment.
