About the position

Uniphore is seeking an Executive Assistant to provide comprehensive administrative support to multiple members of the Leadership Team, including C-Suite Executives. This role is crucial for ensuring the smooth operation of executive functions, requiring adaptability, organization, and a proactive approach to managing various tasks in a fast-paced environment.

Responsibilities

  • Provide day-to-day administrative support for several members of the leadership team, including C-Suite Executives.
  • Act as a liaison both internally and externally, maintaining professionalism and collaboration.
  • Plan team offsite meetings, onsite meetings, and events.
  • Partner with internal stakeholders on projects, initiatives, and events.
  • Prepare international travel arrangements and itineraries, and meticulously file expenses.
  • Manage extensive calendar management and travel planning for internal and external meetings.
  • Coordinate internal and external meetings and interviews, including heavy calendaring and conference room booking.
  • Proactively anticipate what is required to make each executive successful.

Requirements

  • 5+ years prior experience in an administrative support role, supporting multiple leadership calendars concurrently.
  • Bachelor's degree or equivalent work experience.
  • Extremely adaptable to the ever-changing needs of a fast-growing technology company.
  • Highly organized, efficient, and demonstrate innate attention to detail.
  • Ability to meet deadlines and follow company policies & procedures.
  • Reliable teammate able to thrive in a team setting and work independently.
  • Technologically proficient, including Microsoft Office, Concur, TripActions, and NetSuite.
  • Excellent written and verbal communication skills.
  • Quick learner with the ability to figure out new systems and adapt on the go.
  • Ability to work independently under little direction and exercise sound judgment in time-sensitive decisions.
  • Ability to anticipate demands and be a sounding board for executives.
  • Self-starter with initiative and problem-solving skills.
  • Trustworthy with access to sensitive information.

Nice-to-haves

  • Previous experience working with multiple leaders in a fast-paced, rapidly changing environment, preferably in technology, media, internet, or related companies.
