About the position

As an Executive Assistant at JYG Innovations, you will play a crucial role in supporting the CEO and ensuring the smooth operation of the executive office. This part-time position is based in Dayton, OH, and is set to begin in August 2024. Your primary responsibilities will include managing a complex executive calendar, which encompasses travel arrangements, meetings, and various events. You will be the first point of contact for visitors and will maintain a professional image while upholding a strict level of confidentiality in all communications and tasks. In this role, you will communicate directly on behalf of the CEO with the executive team, foundation staff, and other stakeholders regarding programmatic initiatives. You may also represent the CEO at meetings, luncheons, and other appearances. Your duties will involve producing information by transcribing, formatting, and editing documents, as well as managing correspondence by reading, researching, and routing it appropriately. You will also be responsible for planning and scheduling meetings, conferences, and travel, ensuring that the executive's time is conserved and utilized effectively. Additionally, you will welcome guests and customers, providing a warm and professional greeting, whether in person or over the phone. Maintaining a historical reference through effective filing and retrieval systems will be part of your responsibilities, as will keeping accurate records of meeting discussions. To stay current in your role, you will be encouraged to attend educational workshops and participate in professional societies. You will also have the opportunity to arrange corporate events outside of the workplace, contributing to the overall culture and engagement of the organization.

Requirements

  • Must maintain confidentiality regarding employer and customer information.
  • Exhibit a high level of professionalism in all interactions.
  • Proficient in Microsoft Office and reporting skills.
  • Strong verbal and written communication skills.
  • Excellent organizational and time management skills.
  • Previous experience supporting Executive Management personnel is required.
  • Ability to adapt to change and manage stress effectively.
  • Must provide proof of US Citizenship and may need to provide education verification.
