About the position

We are seeking a highly organized and proactive Executive Assistant to support our executive team in a fast-paced, fast-growing company. This role is crucial in ensuring that our executives can focus on strategic initiatives while you handle various administrative responsibilities, including managing schedules, coordinating meetings, and assisting with project coordination.

Responsibilities

  • Provide comprehensive administrative support to executives, including managing schedules and coordinating meetings using Outlook Calendar.
  • Assist in project coordination by tracking deadlines, deliverables, and ensuring timely completion of tasks.
  • Work, coordinate and bridge Local & Remote teams - coordinate and delegate tasks from CEO to teams and figure out how to optimize.
  • Attend meetings for CEO/COO.
  • Proofread documents to ensure accuracy and clarity before distribution or presentation.
  • Act as a personal assistant for personal and business tasks for the CEO, including running errands.
  • Plan and organize events, including meetings, conferences, and team-building activities.
  • Maintain organized filing systems and ensure all documents are easily accessible.
  • Create systems for teams to perform efficiently.
  • Demonstrate strong computer literacy by efficiently using various software applications to enhance productivity.
  • Assist with projects, or delegate the tasks to appropriate teams.

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with DocuSign.
  • Ability to work independently as well as collaboratively within a team environment.

Nice-to-haves

  • Previous experience in event planning is preferred but not required.
  • A customer service-oriented mindset with a focus on delivering high-quality support.
