About the position

The Executive Assistant at Bank OZK plays a crucial role in providing comprehensive administrative and professional support to senior management. This position operates under general direction and is responsible for a wide range of complex and confidential tasks that are essential for the smooth functioning of the executive office. The Executive Assistant will perform general office functions, which include drafting and editing communications, organizing and maintaining accurate records, and creating presentations that effectively convey information to stakeholders. In addition to these core responsibilities, the Executive Assistant will provide backup assistance to other officers on various projects and tasks, including the preparation and filing of reports. This role requires interfacing with a variety of internal and external stakeholders, ensuring that excellent customer service is maintained at all times. The Executive Assistant will also be responsible for maintaining and updating logistical information for executive officers and their teams, which includes scheduling and coordinating meetings. A deep understanding of the Bank's business, products, and services is essential for providing effective support. The Executive Assistant will research, compile, and analyze data for special projects and reports, retrieve information from various records, and prepare written summaries as needed. This position also involves screening incoming phone calls, inquiries, and visitors, and managing correspondence in a professional manner. Planning and coordinating travel logistics and special events are also key components of this role, along with handling clerical tasks and prioritizing correspondence. Confidentiality and discretion are paramount, as the Executive Assistant will be privy to sensitive company and personnel matters. Overall, the Executive Assistant is expected to maintain good attendance and punctuality, follow Bank policies and procedures, and perform other duties as assigned, contributing to the overall success of the executive team and the Bank as a whole.

Responsibilities

  • Perform all general office and professional support functions, including drafting and editing communications and documents.
  • Organize and maintain comprehensive and accurate records.
  • Create presentations for various stakeholders.
  • Provide back-up assistance to other officers on projects and tasks, including preparation and filing of reports.
  • Interface with internal and external stakeholders, ensuring excellent customer service.
  • Maintain and update executive officer and team logistical information, such as scheduling and meeting coordination.
  • Research, compile, and analyze data for special projects and reports.
  • Retrieve information from records, email, and other documents; prepare written summaries as needed.
  • Respond to and resolve administrative inquiries and questions.
  • Screen incoming phone calls, inquiries, visitors, and correspondence in a professional manner.
  • Plan and coordinate travel logistics and special events as necessary.
  • Handle clerical tasks and prioritize correspondence.
  • Complete special assignments as needed.
  • Maintain confidentiality and exercise discretion regarding company and personnel matters.
  • Follow Bank policy, procedures, and guidelines.

Requirements

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 5+ years of work experience in an administrative/executive assistant role required.
  • 5+ years of work experience with Microsoft Word, Excel, and PowerPoint required.
  • Comprehensive knowledge of administrative and clerical procedures.
  • Ability to communicate effectively both verbally and in writing with all levels of management.
  • Excellent and professional interpersonal skills.
  • Effective organizational skills, managing multiple priorities and meeting deadlines.
  • Ability to demonstrate initiative and work independently.
  • Effective critical thinking and problem-solving skills.
  • Ability to work overtime if needed.
