Responsibilities

  • Manage President/CEO schedule and day-to-day activities
  • Provide high-level administrative support to executives
  • Manage executive calendars, including scheduling meetings and appointments
  • Coordinate travel arrangements and prepare travel itineraries
  • Assist in preparing reports, presentations, and correspondence
  • Conduct research and compile data as needed
  • Manage confidential information with discretion
  • Keep communication lines open from the President/CEO's office to the office staff by passing on relevant information
  • Prepare, edit, and file documents and email correspondence
  • Identify and resolve any issues or conflicts that may impact the company or CEO
  • Function as the point of contact between executives and internal staff on behalf of the CEO
  • Provide quality customer service to the public as the first line of contact with customers
  • Emulate the CEO's business characteristics and carry them out as a direct extension of the CEO

Requirements

  • Proven experience as an Executive Assistant or similar role
  • Proficiency in Microsoft Office Suite (Outlook Calendar, Word, Excel, PowerPoint)
  • Excellent communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
  • Strong clerical and organizational skills
  • Ability to plan and see the 'big picture'
  • Competent in conflict and crisis management
  • Leadership and human resources management skills
  • Excellent time management skills
  • Excellent client-facing and internal communication skills
  • Strong writing skills and ability to communicate efficiently with a range of people
  • Experience with Google Suite, Adobe Cloud, Social Media platforms, and other software/apps technology
  • Solid technical background and proficiency with software, app-based technologies, and smartphones
  • Experience in event planning is a plus
  • Demonstrate solid organizational skills, including keen attention-to-detail
