About the position

As an Executive Assistant to the EVP, Chief Diversity & Inclusion Officer at Sony Music Group, you will play a crucial role in fostering a welcoming environment for all stakeholders. This position supports the advancement of diversity, equity, and inclusion initiatives across the company's global operations, ensuring effective communication and organization within the Office of DE&I.

Responsibilities

  • Manage and maintain the daily schedule for the EVP and Chief Diversity & Inclusion Officer, including compiling daily calendar reports and weekly schedule previews.
  • Provide technical support such as scheduling meetings, room reservations, ordering catering for events, and creating reports to track DE&I data.
  • Act as a liaison between the executive and internal staff, artists, managers, attorneys, and external DE&I partners.
  • Provide administrative support including writing letters, preparing correspondence responses, and maintaining meeting agendas and minutes.
  • Oversee the maintenance of physical and digital files in shared drives/databases, ensuring organized file storage.
  • Manage event planning and travel arrangements for the EVP & CDI&O.
  • Maintain and order office supply inventory and distribute mail for the Executive.
  • Prioritize office workload and collaborate with internal partners to meet deadlines.
  • Co-manage invoice management and annual budget tracking for the Office of DE&I.
  • Spearhead vendor management processes for internal and external DE&I vendors.
  • Assist with special projects by serving as project manager, setting goals, and monitoring progress.
  • Prepare presentation templates for the Office of DE&I in alignment with Sony Music brand.
  • Collaborate with other staff and offices throughout the Sony Corporation.

Requirements

  • 7+ years of substantial Executive Assistant experience supporting a C-suite executive.
  • Passionate about diversity, equity & inclusion and building community.
  • Demonstrable experience of enhancing diversity and inclusion within organizations.
  • Proactive, flexible, and responsive to the needs of the team and Executive.
  • Awareness of diversity, equity and inclusion matters in music and the creative industries.
  • Ability to evaluate and analyze DE&I data, develop reports and spreadsheets.
  • Excellent oral and written communication skills, detail orientation, and demonstrated organizational, project management, and time management skills.
  • Working knowledge of office software (Google Apps, Microsoft Office, Excel, Google Suite, Zoom, Adobe Suite, Concur, additional organizational software).
  • Ability to work with a diverse and dynamic group of teammates.
  • Excellent in-person and phone customer service skills.
