About The Position
The Executive Assistant at College Hospital Costa Mesa plays a crucial role in providing high-level support to the Chief Executive Officer (CEO) and Chief Nursing Officer (CNO). This position is essential for ensuring the smooth operation of the executive office and involves a variety of complex tasks that require a high degree of accuracy and independent judgment. The Executive Assistant will be responsible for organizing and controlling the flow of work to accomplish objectives efficiently. This includes coordinating all meetings and activities for the CEO and CNO, which encompasses preparing agendas, consolidating materials for consideration, and managing logistical arrangements for meetings. The role also involves taking minutes and transcripts during meetings, ensuring that all necessary documentation is accurately recorded and distributed. In addition to administrative duties, the Executive Assistant will handle special projects as directed by the CEO and CNO, representing them in various capacities. The position requires excellent organizational skills, attention to detail, and the ability to prioritize tasks effectively. The Executive Assistant will also maintain communication between the hospital administration and internal/external stakeholders, ensuring that all inquiries are addressed promptly and professionally. This role is pivotal in maintaining the professional image of the executive office and requires a strong understanding of hospital operations, policies, and procedures. The ideal candidate will have a background in healthcare settings, familiarity with medical and financial terminology, and experience working with governing boards. Bilingual proficiency in English and Spanish is a plus, enhancing communication with diverse populations. The Executive Assistant will also be expected to maintain confidentiality and adhere to HIPAA regulations, ensuring that all health information is protected from unauthorized access.
