About the position

The Executive Assistant position at HarbourVest Partners is designed to support the Credit Program through a variety of administrative tasks. This role emphasizes collaboration within a diverse and innovative environment, where the assistant will play a crucial role in managing schedules, coordinating travel, and maintaining communication with clients and internal teams. The position is hybrid, requiring 2-3 days in the office each week, and seeks a detail-oriented individual who thrives in a fast-paced setting.

Responsibilities

  • Prepare monthly expense reimbursement reports
  • Coordinate travel arrangements
  • Manage calendars including planning meetings and conference calls
  • Log client updates and fund-related activity and communications in Salesforce
  • Track new deals and GP engagement and meetings in the Deal Cloud platform
  • Routine typing, scanning, photocopying, faxing materials, organizing and routing correspondence
  • Perform other responsibilities as required

Requirements

  • Ability to communicate efficiently with all levels of management both internally and externally
  • Excellent organization and time management skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • 5-8 years of administrative support experience in Financial Services capacity preferred
