About the position

Colas Inc. is seeking an Executive Assistant to provide comprehensive administrative support to the executive team. This role is essential for ensuring the smooth operation of the company by facilitating communication between internal departments and external service providers, managing schedules, and assisting with various administrative tasks. The Executive Assistant will also be involved in preparing presentations, organizing meetings, and maintaining company policies and records.

Responsibilities

  • Provides direct administrative support for executive team.
  • Prepares and assists in preparing PowerPoint presentations and other documents as needed.
  • Prepares and organizes, and takes notes at meetings.
  • Assists the executive team with implementing and maintaining policies, procedures, and safety records.
  • Prepares and submits reports, records, and statistics to management and relevant authorities.
  • Manages calendars, books travel, and handles correspondence for the executive team.
  • Creates and updates content for the website, social media, and newsletters using various media formats.
  • Assists executives with expense reports and various purchases.
  • Assists in special projects as requested.

Requirements

  • Minimum 2 years of experience as an Executive Assistant, Administrative Assistant, or a similar role, preferably in the construction industry.
  • Experience in communications, marketing, or video production is a plus.
  • Proficiency in Teams, Google Docs, and Microsoft Office.
  • Ability to learn new software and systems quickly.
  • Excellent verbal and written communication skills, with attention to detail and accuracy.
  • Strong organizational, time management, and problem-solving skills, with the ability to prioritize and multitask.
  • Ability to work independently and as part of a team, with a positive and proactive attitude.
  • Ability to handle confidential and sensitive information with discretion.
  • Valid Driver's License and ability to maintain a clean driving record.
  • Experience in the construction or manufacturing industry preferred.
  • Strong sense of business acumen and professionalism.
  • Ability to communicate directly but tactfully to company leaders.
  • Outstanding verbal and written communication skills.
  • Well organized and a self-starter requiring minimal direction.
  • Strong organizational and follow-through skills to prioritize work.
  • Ability to manage multiple priorities and meet deadlines in a time-sensitive environment.
