About the position

The Executive Assistant at Salem Investment Counselors will manage the daily operations of the Durham office and provide support to the Chief Investment Officer and Vice President. This role is crucial for ensuring efficient office management and maintaining strong client relationships while upholding confidentiality. The position requires a high level of organization, communication, and the ability to handle multiple tasks effectively.

Responsibilities

  • Manage the daily operations and logistics of the Durham office
  • Oversee day-to-day administrative tasks
  • Summarize and submit client requests to the Operations team
  • Provide executive-level administrative support, including calendar management, expense and travel logistics, and meeting preparation, to the Chief Investment Officer and Vice President
  • Build relationships with clients and ensure confidentiality of their information
  • Oversee administration of client interactions
  • Onboard new clients by managing documents, coordinating with the Operations team, and following up with clients
  • Track prospective and current client engagement
  • Develop and execute strategic client touchpoints
  • Initiate and respond to correspondence in a timely manner
  • Prepare, share, and file detailed reports for clients
  • Maintain specialized reporting records as necessary
  • Track benchmarks and accounts
  • Facilitate wire transfers and track private equity investments
  • Maintain all client files in an organized fashion
  • Track regular money movements and distributions
  • Review daily deposits and withdrawals
  • Execute trades and document bond purchases regularly
  • Perform other duties as required and assigned
  • Occasionally travel in-state to work in the Winston office and for client visits

Requirements

  • Strong attention to detail and organizational skills
  • Excellent oral and written communication skills
  • Effective time management skills and ability to coordinate multiple projects
  • Ability to work independently and prioritize workload
  • Ability to anticipate the needs of the team and take initiative
  • Ability to connect with clients and discuss financial questions
  • High level of autonomy, discretion, and sound judgment
  • Extensive experience with office management systems (Microsoft Office Suite and Adobe Acrobat)
  • Willingness to learn new software and systems
