About the position

We are in search of an Executive Assistant to join our team located in San Antonio, Texas. This role offers a contract to hire employment opportunity. The Executive Assistant will be responsible for providing comprehensive administrative support to the CEO and other senior leadership, handling travel and meeting arrangements, and coordinating an annual convention fundraising night. The ideal candidate will possess a strong background in administrative support, with a focus on high-level executive assistance, and will be adept at managing multiple tasks in a fast-paced environment. In this role, you will provide high-level administrative support to the CEO and various Senior Leadership members, ensuring that their schedules are managed efficiently and that all necessary arrangements for meetings and travel are made. You will manage Board conference calls, meetings, agendas, and minutes, serving as a liaison for board members to facilitate effective communication and coordination. Additionally, you will coordinate an annual convention fundraising night, which involves planning and executing various logistics to ensure a successful event. Your responsibilities will also include assisting with various administrative tasks, utilizing your proficiency in MS Office Suite and other commonly used office machines. You will be expected to use tools such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System to perform your duties effectively. The role requires you to provide efficient and accurate processing of customer credit applications, maintain accurate customer credit records, and monitor customer accounts, taking appropriate action when necessary.

Responsibilities

Requirements

  • Must hold a minimum of 5 years of experience in an Executive Assistant role or similar position.
  • Proficiency in using ADP - Financial Services is necessary.
  • Experience with Cisco Webex Meetings is essential.
  • Proficiency in Concur is required.
  • Must have experience in using CRM systems.
  • Knowledge of Kronos Timekeeping System is necessary.
  • Experience with About Time is a plus.
  • Must possess excellent calendar management skills.
  • Strong communication skills are essential.
  • Experience in managing conference calls is required.
  • Must be adept at handling correspondence.
  • Knowledge of elections is a plus.
  • Must have the ability to coordinate meetings effectively.
  • Experience in committee meeting management is necessary.
  • Proficiency in Microsoft Excel is required.
  • Must be proficient in Microsoft Office Suites.
