About the position

The Executive Assistant position under the supervision of the city manager and assistant city manager involves coordinating and overseeing a variety of technical and office administrative duties in support of the city manager, assistant city manager, city council, and the city manager's staff. This role is critical as it provides highly sensitive support to the city management and requires the exercise of independent judgment and technical knowledge of city and community activities. The position entails a wide range of complex administrative duties, which may include supervising clerical and other support staff, and performing additional tasks as assigned. The Executive Assistant will be responsible for managing daily operations in the city manager's office, representing the city to the public, businesses, council members, and other local, county, and state agencies. This includes coordinating all administrative activities and schedules to ensure smooth office operations, reviewing and summarizing reports and documents, and preparing city manager's reports to the council. The role also involves prioritizing and facilitating communication from various stakeholders, maintaining department files, and ensuring the confidentiality of personnel records. Additionally, the Executive Assistant will assist in preparing materials for speaking engagements and city meetings, coordinate quarterly Executive Leadership team meetings, and take minutes during these meetings. The position requires organizing workshops for strategic planning and budget discussions, coordinating off-site events, and managing travel arrangements for city management. The Executive Assistant will also be responsible for processing invoices, preparing budgets, and monitoring expenditures, making this role integral to the financial and operational success of the city manager's office.

Responsibilities

  • Perform a wide variety of executive administrative duties as required by daily operations in the city manager's office.
  • Represent the city to the public, businesses, council members, and other local, county, and state agencies.
  • Coordinate all administrative activities and schedules; ensure smooth office operations.
  • Review and summarize miscellaneous reports and documents, including the preparation of city manager's reports to council.
  • Review, screen, and evaluate incoming phone calls, messages, mail, and e-mail to identify priority items for city management and council members.
  • Prioritize, channel, and facilitate communication from department heads, supervisors, and the city attorney through the city manager's office.
  • Set up and organize department files; control and maintain public records as required.
  • Assist in preparation of material for speaking engagements and various city meetings including City Council meetings.
  • Coordinate quarterly Executive Leadership team meetings and take minutes as directed by the city manager.
  • Assist in coordinating workshops involving city council for Strategic Planning, Citizen Meetings, and budget workshops.
  • Coordinate and arrange off-site events involving staff and council, such as farewell dinners and annual meetings.
  • Monitor and approve all items to be displayed in the city hall lobby area.
  • Prepare travel arrangements for the city manager, assistant city manager, and city council.
  • Maintain appointment schedules and calendars for the city manager and city council; arrange meetings and conferences.
  • Process invoices for payments using financial software system.
  • Prepare budgets for the city manager and city council and closely monitor expenditures.

Requirements

  • An Associate's Degree in Business or a related field plus three years of office administrative, supervisory, or lead experience; or equivalent combination of education and experience.
  • Knowledge of local government organizational structure and functioning, including codes, policies, regulations, and procedures related to the city manager's office.
  • Basic supervisory principles and practices.
  • Exemplary customer satisfaction skills, including effective communication with the public, elected officials, and city staff.
  • Proficiency in Microsoft Office software, including Excel and PowerPoint applications.
  • Ability to perform technical, specialized, complex, and difficult office administrative work requiring independent judgment.
  • Strong organizational skills to coordinate projects, set priorities, and meet deadlines.
