About the position

Foster Love is a 501(c)3 non-profit organization dedicated to improving the lives of foster children in America, who often find themselves forgotten and neglected by the public. We are seeking an Executive Assistant to work closely with our CEO/Founder. This role is crucial in providing high-level administrative support while engaging collaboratively with all team members to champion our mission. The Executive Assistant must thrive in a fast-paced, high-pressure work environment, demonstrating exceptional organizational skills to identify and act on job duties quickly and effectively. The Executive Assistant will be responsible for a variety of administrative tasks that support the Founder & CEO of the organization. This includes managing the executive's calendar, setting up meetings, and making travel and accommodation arrangements. The role requires flexibility in job assignments and responsibilities, as it is a hands-on position that provides high-level insight and learning opportunities. The Executive Assistant will act as the point of contact among executives, employees, clients, and other external partners, ensuring that information flows in a timely and accurate manner. In addition to administrative duties, the Executive Assistant will support and uplift all departments within the organization, contributing to the growth of the company and supporting the dreams of the CEO. Availability and flexibility are essential, as the role may require working weekends and holidays based on organizational needs. The Executive Assistant will also be expected to assist with daily time management, run errands as requested, and handle phone calls and emails with discretion and confidentiality.

Responsibilities

  • Support and uplift all departments within the organization.
  • Act as the point of contact among executives, employees, clients, and other external partners.
  • Manage information flow in a timely and accurate manner.
  • Manage executive's calendars and set up meetings.
  • Make travel and accommodation arrangements while staying on track.
  • Assist with daily time management and run errands as requested.
  • Answer phone calls and emails and take messages.

Requirements

  • Expert oral and written communication skills.
  • Strong persuasive sales/upselling skills when meeting potential donors.
  • Strong attention to detail and time management skills.
  • Work experience as an Executive Assistant, Personal Assistant, or similar role.
  • Excellent knowledge of MS Office.
  • Outstanding organizational skills and adaptability.
  • Familiarity with office gadgets and applications (e.g., e-calendars and copy machines).
  • Discretion and confidentiality in handling sensitive information.

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred).
  • Strong creative and critical thinking skills.
  • Friendly personality with strong problem-solving skills.
