About The Position

As an Executive Assistant at BS&A, you will be providing high-level administrative support to our executive team. This key role is responsible for streamlining communication and fostering cohesiveness and productivity between the executive office and internal/external stakeholders.

Requirements

  • Bachelor's degree in a Business-related field or equivalent work experience.
  • 5 plus years experience as an Executive Assistant.
  • Strong Organizational and time management skills with meticulous attention to detail.
  • Proven experience in planning, executing, and overseeing projects.
  • Excellent written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.
  • Proficient in Microsoft Office Suite and other relevant office software.
  • Experienced with calendar management tools and video conferencing platforms.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Ability to adapt to changing priorities and work well with collaboration.

Responsibilities

  • Manage and coordinate the executive team's calendars, including scheduling meetings, appointments, and travel arrangements.
  • Serve as the primary point of contact for internal and external communications on the executive's behalf.
  • Draft and prepare emails, memos, reports, and other documents as needed.
  • Plan, organize, and coordinate meetings, conferences, and special events.
  • Prepare meeting agendas, attend meetings, and take accurate minutes.
  • Maintain organized and up-to-date files, records, and documentation for the executive office.
  • Ensure confidentiality and security of sensitive information.
  • Prioritize and manage multiple tasks simultaneously, ensuring that deadlines are met and priorities are addressed.
  • Conduct research and analysis as needed for the executives.
  • Act as a point of contact during crisis situations, facilitating communication and implementing necessary protocols.
  • Ability to travel if needed.
  • Other duties as assigned.
