About the position

Ever Well is seeking a highly organized and proactive Executive Assistant to support an executive. This role is crucial in ensuring the smooth operation of the executive team and involves a variety of administrative tasks that require both independence and collaboration. The ideal candidate will possess exceptional multitasking abilities, strong communication skills, and a keen attention to detail.

Responsibilities

  • Assist in project coordination by tracking deadlines, deliverables, and progress on various initiatives.
  • Transcribe meeting notes and prepare reports as needed to ensure clear communication within the team.
  • Provide comprehensive administrative support to executives, including managing schedules, coordinating meetings, and handling correspondence.
  • Maintain an organized filing system for documents, both physical and digital, ensuring easy access to important information.
  • Perform data entry tasks accurately and efficiently to keep records up-to-date.
  • Utilize Microsoft Office for document creation, spreadsheets, presentations, and calendar management.
  • Support personal assistant duties as required, including travel arrangements and personal scheduling for executives.
  • Manage office supplies inventory and coordinate with vendors for necessary orders.
  • Ensure compliance with company policies regarding document management using tools such as DocuSign for electronic signatures.

Requirements

  • Strong project coordination skills with the ability to manage multiple tasks simultaneously.
  • Proficient computer literacy with a solid understanding of Google Suite applications (Docs, Sheets, Slides).
  • Excellent organizational skills with a focus on detail-oriented work processes.
  • Experience in data entry and maintaining accurate records is essential.
  • Previous experience in an office or clerical role is preferred but not mandatory.
  • Familiarity with transcribing notes and preparing documents for distribution is a plus.
  • Knowledge of electronic signature platforms like DocuSign is advantageous but not required.
