About the position

Columbus Technologies and Services Inc. is seeking an Executive Assistant to provide high-level administrative support to the National Institutes of Health (NIH) in Bethesda, Maryland. In this role, the Executive Assistant will be tasked with scheduling and maintaining an accurate tracking system for all office activities. This includes arranging conferences and meetings, making travel arrangements, and advising staff on effective presentation methods. The Executive Assistant will also be responsible for updating databases and spreadsheets, creating reports for management, and maintaining inventory while initiating purchase requests. The position requires a proactive individual who can manage complex schedules and provide executive-level support effectively. The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to work collaboratively in a fast-paced environment.

Responsibilities

  • Provides executive expertise needed to coordinate, improve, and oversee the overall functioning of the office.
  • Schedules and maintains an accurate tracking system of all activities.
  • Stays abreast of and implements current regulations, policies and procedures, and updates staff on relevant information.
  • Plans and completes various special projects.
  • Arranges conferences and meetings and contacts attending professionals, makes travel arrangements, maintains complex schedules and calendars, and advises staff on the most effective method and format of presentations.
  • Updates databases and spreadsheets and creates reports for management.
  • Maintains inventory and initiates purchase requests.

Requirements

  • Associate's degree in general education
  • Experience in meeting minutes/summary reports
  • Proven executive level support experience
  • Excellent communication skills and inter-personal skills
  • Experience in meeting coordination
  • Strong calendaring and scheduling skills
  • Proficiency in SharePoint
  • Proficiency in MS Office
  • Experience with Concur
  • Proficiency in Outlook
  • Familiarity with ITAS
