About the position

Dan Newlin Injury Attorneys is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Chief Operating Officer (COO). The ideal candidate will have at least 3 years of experience in a similar role, preferably within a legal or professional services environment. This role requires a high level of discretion, professionalism, and the ability to manage multiple tasks efficiently. The Executive Assistant will be responsible for providing high-level administrative support to the COO, managing calendars, scheduling meetings, and coordinating travel arrangements. Additionally, the role involves handling all forms of communication on behalf of the COO, including emails, phone calls, and correspondence, as well as drafting and editing documents, presentations, and reports as needed. The Executive Assistant will assist the COO in managing various projects by tracking deadlines, organizing materials, and coordinating with internal and external stakeholders. Meeting preparation is also a key responsibility, which includes preparing agendas, materials, and presentations for meetings. Document management is crucial, as the Executive Assistant will maintain and organize files, documents, and records, ensuring they are easily accessible and up-to-date. The role requires handling sensitive information with the utmost confidentiality and discretion, while also building and maintaining strong professional relationships. Proactively identifying issues and providing solutions to ensure the smooth operation of the COO's office is essential.

Responsibilities

Requirements

  • Minimum of 3 years of experience as an Executive Assistant, preferably in a law firm or professional services environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Meticulous attention to detail and accuracy.
  • Strong interpersonal skills with the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Ability to anticipate needs and take initiative in solving problems.
  • High degree of professionalism and the ability to maintain confidentiality.
