Reporting to the dean or vice president level, the Executive Assistant represents the executive and department to the public, employees, and students. This includes establishing priorities for inquiries, resolving issues, and delegating tasks appropriately to ensure proper handling. The role also involves overseeing planning unit administrative processes and coordinating both internal and external communications. The Executive Assistant will manage a multifaceted calendar of appointments, determining appropriate meeting lengths, locations, and participants. Additionally, the role includes coordinating or completing special projects, representing the executive in meetings and committees, and acting in the absence of the administrator to perform high-level administrative duties. The Executive Assistant will research and analyze complex problems, providing recommendations for resolution, and will develop and monitor protocols for handling and maintaining confidential materials. Furthermore, the position requires preparing and monitoring budget and other financial documents for a planning unit, maintaining accountability for budget expenditures. Specifically, this role involves direction, coordination, implementation, and completion of special projects assigned by the executive team, including facilitating communication, creating presentations, and preparing materials. The Executive Assistant will manage commitments and priorities of the executive team, ensuring effective calendaring and space management. This position is also responsible for planning and executing college-wide events, managing office coverage, and overseeing the hiring, training, and scheduling of student receptionists.

Requirements

  • High school degree or GED or equivalent.
  • Minimum of 5 years of administrative support experience.
  • Knowledge of technical and practical administrative concepts, processes, and methods.
