About the position

The Executive Assistant position within the Bureau of Safety and Environmental Enforcement (BSEE) involves providing high-level administrative support to the Deputy Director. The role includes managing the Deputy Director's calendar, coordinating travel arrangements, and ensuring efficient administrative operations within the Office of the Director. The Executive Assistant will also prepare briefing materials, manage records, and apply analytical techniques to support the Deputy Director's initiatives.

Responsibilities

  • Manage the Deputy Director's calendar, travel, and other arrangements based on knowledge of priorities and preferences.
  • Function as the scheduling manager in the Office of the Director, ensuring administrative coverage and support for the Deputy Director.
  • Notify affected offices of planned travel and assist in gathering necessary information for trip planning.
  • Compile and prepare schedules, background information, and briefing materials for the Deputy Director.
  • Apply analytical and evaluative techniques to clarify and identify solutions to assigned issues.
  • Keep the Deputy Director and BSEE Chief of Staff informed of day-to-day activities, commitments, and priorities.
  • Conduct records management activities for the BSEE Office of the Director.

Requirements

  • Specialized experience equivalent to at least the GS-07 grade level in the Federal service, or comparable experience not gained through Federal service.
  • Experience maintaining a calendar, coordinating with multiple offices, and arranging official travel.
  • Education: 2 full years of progressively higher-level graduate education or a Master's degree related to the work.
  • Combination of graduate education and appropriate experience that meets 100% of the qualification requirements.

Nice-to-haves

  • Experience managing long-range senior leader calendars.
  • Ability to prepare correspondence and action documents for leadership review.
  • Experience managing records and electronic files in accordance with established rules.
