About the position

The Executive Assistant position at the Kayenta Service Unit is primarily responsible for providing high-level administrative support to the Chief Executive Officer and other executive staff. This role involves managing confidential administrative tasks, coordinating schedules, and ensuring compliance with healthcare regulations. The Executive Assistant will play a crucial role in facilitating communication and organization within the executive office, contributing to the overall efficiency of the service unit.

Responsibilities

  • Assist the CEO in evaluating the Governing Body and Administrative/Management components of the hospital operation.
  • Formulate formal reports for executive discussion and decision-making.
  • Receive and route incoming and outgoing materials such as correspondence and reports.
  • Maintain the appointment and meeting schedule for the CEO and other senior staff members.
  • Serve as the point-of-contact for scheduling meetings and managing conference room bookings.
  • Purchase supplies and equipment following prescribed guidelines and procedures.
  • Establish and maintain filing systems and perform timekeeping functions.
  • Prepare and process documents related to travel and timekeeping for staff.

Requirements

  • At least one year of specialized experience equivalent to the next lower grade level in the Federal service, performing administrative and clerical duties.
  • Experience serving as an executive assistant to a CEO or similar role, coordinating activities and managing appointments.
  • Proficient in composing correspondence and planning itineraries for travel.
  • Exceptional communication skills, both verbal and written, with the ability to coordinate with various stakeholders.
  • Knowledge of computer systems and software for word processing and database usage.

Nice-to-haves

  • Experience in a healthcare setting or with healthcare regulations.
  • Familiarity with Joint Commission and CMS requirements.
