About the position

We are seeking an exceptional Executive Assistant to provide high-level administrative support to our leadership team at Cartwright International LLC. This role requires a highly organized and detail-oriented individual who is proficient in various administrative tasks and has experience working with executives. The ideal candidate will be skilled in organizational tasks, have expertise in Google Suite and Microsoft Office, and be able to transcribe meetings and documents accurately. The Executive Assistant will be responsible for managing complex schedules, coordinating travel arrangements, and ensuring the smooth operation of the office. In this position, you will provide executive-level administrative support to senior leaders, manage and maintain complex calendars using Google Suite and Outlook Calendar, and coordinate travel arrangements while preparing itineraries and ensuring all necessary documents are completed. You will also prepare and edit documents, reports, and presentations using Microsoft Office, transcribe meetings, phone calls, and documents with high accuracy, and assist with phone systems, including answering and directing calls. Additionally, you will organize and maintain electronic and physical files, perform administrative tasks such as filing and proofreading, and provide support with special projects and events. Maintaining confidentiality and handling sensitive information is crucial, as is developing and maintaining organizational systems and processes. You will coordinate and schedule meetings, appointments, and events, develop and maintain relationships with vendors, partners, and stakeholders, and prepare and deliver presentations and materials. Exceptional customer service is a must, along with managing and prioritizing tasks to ensure timely completion and assisting with budgeting and expense reports.

Requirements

  • Proven experience as an Executive Assistant or in a similar role
  • Bachelor's degree in Business Administration or a related field
  • Strong organizational and communication skills
  • Proficiency in Google Suite and Microsoft Office
  • Experience with phone systems and transcribing
  • Ability to work independently and as part of a team
  • Excellent proofreading and editing skills
  • High level of attention to detail
  • Ability to maintain confidentiality and handle sensitive information
  • Strong administrative and organizational skills
  • Ability to manage multiple projects and priorities effectively
  • High school diploma or GED required; Bachelor's degree preferred
  • 5+ years of experience in an executive administrative role
  • Certification in administrative support or a related field is a plus.
