About the position

This Executive Assistant position provides support to the Associate Vice Chancellor for Finance/Comptroller as well as providing operational and administrative support to the direct reports of the Associate Vice Chancellor. The position requires discretion and insightful judgment, attention to detail, grace under pressure, and the ability to multi-task, prioritize, exercise initiative, and make independent decisions. The position interacts with officers, executives and staff within the University, and externally with visitors and other stakeholders. This position is responsible for calendar management, organizing meetings with staff and outside agencies, and is responsible for planning, organizing and executing official functions and events.

Responsibilities

  • Provide executive support to the Associate Vice Chancellor for Finance/Comptroller.
  • Manage, coordinate, and monitor several distinct funds.
  • Compile, research, develop and disseminate a variety of information, data reports, and documents to direct reports of the AVC for Finance.
  • Assist visitors and serve as a primary point of contact for the AVC of Finance/Comptroller Office.
  • Foster positive relationships and serve as a representative of the AVC for Finance.
  • Coordinate meeting requests and handle sensitive meeting requests with discretion.
  • Develop and maintain knowledge of external groups and individuals with whom the AVC for Finance interacts.
  • Perform special projects and assignments as assigned by AVC for Finance.
  • Conduct quality checks of materials prepared by others for the AVC for Finance's review.
  • Plan and organize meetings, negotiate meeting patterns, and prepare meeting materials.
  • Process and route letters and documents for the AVC for Finance's signature.
  • Maintain a calendar of events for AVC for Finance and staff.
  • Assist the executive team with special projects and perform other related work as assigned.
  • Plan, coordinate, and execute on- and off-campus events and official functions.
  • Oversee the hiring process for student workers and provide secondary supervision.
  • Process time entry for AVC Finance areas and staff.
  • Acquire goods and services for the AVC for Finance areas.
  • Provide budgetary support for the Finance area and process budget transfers.
  • Ensure proper maintenance of the AVC for Finance office facilities.
  • Provide secondary travel support for the AVC for Finance/Comptroller and other staff.
