About the position

At Stonebridge Companies, we are seeking an Executive Administrative Assistant to provide comprehensive support to our President & CEO and General Counsel in Denver, CO. This role is pivotal in ensuring the smooth operation of executive functions and requires a high level of professionalism, discretion, and organizational skills. The Executive Administrative Assistant will be responsible for a variety of tasks that include managing complex calendars, arranging travel, and coordinating meetings. The ideal candidate will have a minimum of 10 years of experience in a similar role, preferably supporting C-Level executives in larger organizations. The position demands a proactive approach to problem-solving and the ability to anticipate the needs of the executives. The Executive Administrative Assistant will also handle document management, including the preparation of confidential correspondence and reports. This role requires excellent communication skills, as the assistant will regularly interact with senior leaders and external stakeholders. The ability to manage multiple priorities and deadlines is essential, as is a commitment to delivering outstanding service to both internal and external customers. In addition to administrative duties, the Executive Administrative Assistant will provide personal assistance as needed, which may include community support and involvement in philanthropic activities. The successful candidate will demonstrate a strong sense of accountability and ownership in their work, ensuring that all tasks are completed efficiently and effectively. Flexibility to work evenings and weekends is also required, as the demands of the role may necessitate additional hours beyond the standard workweek.

Responsibilities

  • Provide diversified administrative support to the President & CEO and General Counsel, including scheduling, travel arrangements, and meeting coordination.
  • Assist with printing, filing, supply orders, business card orders, inventory maintenance, mail distribution, memo composition, research, presentation creation, and document formatting/editing.
  • Provide personal assistant support as needed, including travel, community support, and philanthropic activities.
  • Proactively maintain frequently changing calendars for the executives.
  • Complete non-routine, complex projects and assignments, including creating spreadsheets, presentations, databases, and other confidential documents.
  • Regularly communicate with the President & CEO, General Counsel, and other leadership team members, requiring interpretation, persuasion, and discretion.
  • Manage daily contact with all levels of management and clients, often dealing with confidential information.
  • Serve as a liaison to internal and external stakeholders, interacting with senior leaders daily.
  • Prepare confidential and sensitive documentation and correspondence for various stakeholders.
  • Consistently follow through on deadlines and projects, taking initiative on all work requests and providing status updates as needed.
  • Anticipate the needs of the President & CEO and General Counsel's actions to resolve any challenges proactively.

Requirements

  • Minimum of 10 years of experience as an Executive Administrative Assistant.
  • Preferred experience supporting C-Level executives in larger companies (over $100m in revenue).
  • Intermediate to advanced skills in desktop applications (e.g., Word, Excel, PowerPoint, Visio).
  • High level of confidentiality.
  • Excellent people, organizational, and time management skills.
  • Ability to organize and prioritize work effectively under deadlines with limited direction.
  • Successful engagement in multiple initiatives simultaneously.
  • Excellent verbal, written, organizational, and interpersonal skills.
  • Commitment to delivering outstanding service to internal and external customers.
  • Strong sense of accountability and ownership in resolving issues.
  • Effective listening, clarifying questions, and agreement checking with the President & CEO and General Counsel.
  • Proven success in a similar role.
  • High energy with the ability to process and prioritize large volumes of information.
  • Ability to manage a high volume of scheduling, meeting/event planning, and travel itineraries.
  • Project management skills for special projects, including planning and coordinating presentations and information dissemination.
  • Handling and routing of confidential and non-routine documents and information.
