About the position

This position is located within the U.S. Department of Justice (DOJ), specifically in the Office of Justice Programs (OJP), under the Office of the Assistant Attorney General (OAAG) and the Office of the General Counsel. The role is critical in supporting the Assistant Attorney General (AAG) and the Principal Deputy Assistant Attorney General (PDAAG) by managing their schedules, facilitating communication, and ensuring that all commitments are met efficiently. The selected candidate will be responsible for pre-planning the AAG's and PDAAG's commitments weeks and months in advance, forecasting potential requirements, resolving calendar conflicts, and reserving time for projects and recurring commitments. This includes making arrangements for meetings and conferences, notifying participants of event locations, and maintaining invitations and attendee contact rosters. In addition to scheduling, the position serves as a liaison among the AAG, PDAAG, and staff from other DOJ offices, facilitating effective communication and representing the AAG as the first point of contact. The role requires drafting and editing emails, letters, and other communications to be sent under the AAG or PDAAG's signature with minimal guidance. The candidate will also monitor the AAG's email inbox and phone messages, identifying those requiring action and using independent judgment to prioritize tasks. Travel coordination is another key responsibility, ensuring that travel itineraries and briefing documents are well-organized and meet the AAG's and PDAAG's instructions. The position requires handling highly sensitive information, including personnel matters and policy decisions that impact OJP's significant grant awards. The selected individual will also plan and execute special projects and initiatives as directed by the AAG and PDAAG, which may include data production and creating various documents and presentations.

Responsibilities

Requirements

  • U.S. Citizenship required.
  • One (1) year of specialized experience equivalent to at least the GS-11 level.
  • Experience maintaining complex and dynamic appointment calendars and scheduling appointments.
  • Experience serving as a liaison and facilitating effective communication between senior executives, management, and staff.
  • Experience drafting and editing emails, letters, and other communications.
  • Experience coordinating travel arrangements for domestic and international travel.
  • Experience planning and executing special projects and initiatives.
