About the position

As an Executive Assistant at Hyatt Vacation Ownership, you will play a crucial role in ensuring the smooth operation of the office environment. Your primary responsibilities will include greeting visitors, determining the purpose of their visit, and directing them to the appropriate destination. You will be responsible for managing correspondence, including opening, reading, and preparing responses to routine letters, as well as handling incoming and outgoing mail. Additionally, you will create and maintain both computer-based and paper-based filing systems for various records, reports, and documents, ensuring that all information is organized and easily accessible. In this role, you will also be tasked with taking and distributing meeting minutes, preparing letters, memos, and other documents using various software applications, and entering and retrieving information from computer databases. Operating standard office equipment, such as telephones, fax machines, and photocopiers, will be part of your daily duties. You will document and communicate guest requests and complaints to the appropriate personnel, ensuring that all guest interactions are handled with professionalism and care. Your work will require you to follow company policies and procedures, maintain a clean and professional appearance, and protect the confidentiality of proprietary information. Building and maintaining positive working relationships with colleagues and guests will be essential, as will your ability to respond appropriately to the concerns of others. You will be expected to speak clearly and professionally, answer telephones with proper etiquette, and provide exceptional customer service to all guests, including those with disabilities. Flexibility in your schedule is necessary, as you will be required to work evenings, weekends, and holidays as needed.

Responsibilities

  • Greet persons entering the office and determine the nature and purpose of their visit.
  • Direct or escort visitors to their destination.
  • Open, read, and prepare answers to routine letters.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Take and distribute meeting minutes to appropriate individuals.
  • Handle and distribute incoming and outgoing mail.
  • Create and maintain computer- and paper-based filing and organization systems for records, reports, and documents.
  • Transmit information or documents using a computer, mail, or facsimile machine.
  • Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.
  • Enter and retrieve information contained in computer databases to update records, files, and reservations.
  • Operate standard office equipment such as telephones, typewriters, fax machines, photocopiers, and calculators.
  • Document and communicate all guest requests and complaints to appropriate personnel.

Requirements

  • Valid Driver's License with a good driving record.
  • Entry-level experience in an administrative or office support role.

Nice-to-haves

  • Experience with word processing, spreadsheet, database, or presentation software.
  • Strong customer service skills and a pleasant personality.
