About the position

Modern Technology Solutions, Inc. (MTSI) is seeking an Executive Assistant to support government leads in a fast-paced environment. This role involves managing calendars, correspondence, and various administrative tasks while ensuring effective communication with stakeholders. The Executive Assistant will play a crucial role in maintaining organizational efficiency and supporting the program's operational needs.

Responsibilities

  • Primary point of contact for government leads' calendars and daily schedules.
  • Integral member of the program's Front Office Group, handling correspondence and communication with various organizations.
  • Track Integrated Product Team (IPT) manning and prepare organizational charts.
  • Perform data entry functions and integrate information into required reports and presentations.
  • Generate and maintain training requirements and established file plans.
  • Prepare correspondence per standard Government formats, including management of printing and copying equipment.
  • Assist with writing monthly activity reports and award submission packages.
  • Support the planning, preparation, and publication of program documentation and presentations.
  • Assist in the establishment and maintenance of Operating Instructions (OIs).
  • Verify checklists against current processes and maintain a tracking system for deficiencies.
  • Order office supplies and manage inventory requests.
  • Collect and visually display materials for staff meetings and information exchange meetings.
  • Coordinate and track progress of taskers coming to the division or branch.
  • Lead administrative operations for events, including logistics and attendee management.
  • Complete travel approval requests and submit vouchers using Defense Travel System (DTS).
  • Manage files and ensure efficient multitasking and customer service.

Requirements

  • 8+ years of experience in a related role.
  • High school diploma or GED required; bachelor's degree preferred.
  • Minimum of Secret security clearance with the ability to obtain a Top-Secret Security Clearance.
  • Proficient in Microsoft products.
  • Experience with SharePoint and Confluence preferred.

Nice-to-haves

  • Experience in a government contracting environment.
  • Familiarity with classified environments and security protocols.
