About the position

The Executive Assistant at Signal Security plays a crucial role in providing high-level, confidential administrative support to the Executive team. This position is designed for a self-starter who thrives in a fast-paced environment and is capable of managing multiple initiatives across the organization. The Executive Assistant will be responsible for managing the daily schedules of executives, coordinating projects, and executing various administrative tasks to ensure the smooth operation of executive activities. This role requires a high degree of professionalism, discretion, and the ability to maintain confidentiality while handling sensitive information. In this role, the Executive Assistant will assist in managing the executives' calendars, scheduling appointments, arranging meetings, and coordinating travel logistics. The position also involves planning, organizing, and preparing materials for meetings, including agendas and reports. The Executive Assistant will attend required meetings and provide administrative support as needed, ensuring that all activities align with the executives' objectives. Building and maintaining relationships with internal and external partners is essential for executing daily activities effectively. The Executive Assistant will also provide general administrative support, including data entry and expense management, and assist with special projects assigned by the executives. The ability to anticipate challenges, identify solutions, and proactively address issues is critical to supporting the executive team's objectives. This position does not contain a comprehensive listing of activities, duties, or responsibilities, as other tasks may be assigned based on organizational needs.

Responsibilities

  • Assist in managing the Executives' calendars, schedule appointments, arrange meetings, and coordinate travel logistics
  • Plan, organize, and prepare materials for meetings (agendas, franchise calls, executive meetings, internal meetings, etc.)
  • Attend required meetings and provide administrative support as needed
  • Maintain the highest level of confidentiality and discretion when handling sensitive information, documents and matters
  • Build and maintain relationships with internal and external partners, team members and the greater Signal network
  • Provide general administrative support, including data entry and expense management when needed
  • Assist with special projects assigned by the Executives
  • Anticipate challenges, identify solutions, and proactively address issues to support executive objectives.

Requirements

  • 3-5 years of experience ideally in an executive assistant or administrative assistant role, in a fast-paced and nimble, likely start-up environment
  • A self-starter with proven experience taking initiative across a wide range of responsibilities
  • Ability to understand the Signal franchise model and partnerships to better support the Executives
  • Demonstrated commitment, expertise in processes, and a strong work ethic
  • Proactively seeks feedback to improve performance
  • Knowledge of key business software (MS Office, TripIt, etc.)
  • Knowledge of HubSpot is a plus
