About the position

Join our small but growing upper management team today as an Executive Assistant in a hybrid role that combines human resources and administrative support. This position is crucial for managing hiring processes across 30 locations, which involves tracking job advertisements on platforms like Indeed and forwarding resumes of potential candidates to the respective managers. Once candidates are hired, you will ensure that the onboarding process is executed smoothly and efficiently. You will be based in the corporate office, where you will participate in meetings, take notes, and occasionally set up and host conference calls. Your responsibilities will also include updating employee files, organizing documents, and ensuring that all necessary licensing is current and compliant. Additionally, you will be responsible for verifying that managers submit their reports accurately and on time each week by checking spreadsheets and reporting directly to the CEO. In your day-to-day activities, you will assist the boss with various operational tasks. This may include odd jobs such as contacting vendors for pricing, organizing deliveries, or even picking up personal items for the owner. This role requires a proactive and adaptable individual who can handle a variety of tasks in a fast-paced environment.

Responsibilities

  • Manage hiring processes for 30 locations by tracking job ads and sending resumes to managers.
  • Ensure proper execution of the onboarding process for new hires.
  • Participate in meetings, take notes, and set up conference calls as needed.
  • Update employee files and organize important documents.
  • Ensure all licensing is up to date and compliant.

Requirements

  • High school diploma or GED required.
  • 1 year of experience with Microsoft Excel or Google Sheets required.
  • 1 year of experience with Microsoft PowerPoint preferred.
  • Ability to reliably commute or plan to relocate to Lake Worth, FL before starting work.
