The Executive Assistant at Team Rivera Real Estate plays a crucial role in supporting the Team Leader by managing administrative tasks and providing strategic support in client engagement, marketing, and operations. Responsibilities

  • Manage and prioritize the Team Leader's schedule, focusing on revenue-generating activities.
  • Prepare essential materials for client meetings, including MLS property sheets and customized presentation folders.
  • Proactively remind the Team Leader of appointments and tasks to enhance productivity.
  • Coordinate thoughtful touchpoints and follow-ups to enhance the client experience.
  • Facilitate personalized follow-ups, request reviews, and document feedback from clients.
  • Manage client appreciation initiatives, including birthdays, anniversaries, and closing celebrations.
  • Update and maintain the client list monthly to ensure accurate information.
  • Update client and lead information across various platforms, ensuring accuracy and compliance with lead partners.
  • Assist with CRM notifications and adherence to team lead guidelines.
  • Assist in developing and posting content across social media, ensuring daily engagement.
  • Create and manage content for the Google Business Page and respond to reviews.
  • Coordinate events, including client and team events, ensuring successful execution and branding.
  • Build and maintain Standard Operating Procedures (SOPs).
  • Set up and manage media equipment for content shoots.
  • Perform administrative and personal errands to support the Team Leader.

Requirements

  • Minimum of 2 years in an administrative assistant or executive support role, ideally in real estate or a client-centered industry.
  • Strong organizational and project management skills.
  • Excellent written and verbal communication skills with a client-centric mindset.
  • Skilled in digital marketing and content management.
  • Proficient in project management tools and CRM software.
